How to Use AI for Massive Everyday Productivity Gains

The transcription begins with a testimonial for Drip Drop, a hydration product that uses science-based formulas for rapid hydration. It is promoted as a convenient solution for busy days, travel, and brain fog, with 24 flavors and a 20% discount code (TPS) for podcast listeners. The main content focuses on leveraging AI to enhance productivity. The speaker, Tim Femme, advises using AI within browsers (e.g., Chrome with Gemini or Claude) to summarize websites and generate to-do lists, saving time on tasks like trip planning. He also recommends using meeting transcription tools to automate follow-up emails, update CRMs, and assign action items, ensuring meetings lead to tangible outcomes. The core message is to move from passive AI interactions (chatting) to active automation with AI agents, which can execute tasks like drafting emails or updating project management platforms. This shift can reclaim significant time, with examples of saving 10–60 hours per week. Security concerns are acknowledged but seen as a trade-off. The action item is to identify one repetitive task and ask AI to perform it autonomously, starting small to see transformative results. The episode ends with a reminder that small weekly tweaks lead to major productivity gains.

Welcome to the Productivity Travel Podcast, where we believe that you can get the important things done without sacrificing your health, family, and things that matter to you. I'm Tim Femme, founder of Asian Efficiency, where we help people become more productive at work and in life. And it is Wednesday, so that means another wisdom Wednesday episode, where you are going to get actual productivity advice in less than 10 minutes. Now, let's keep it really simple today. Everyone is talking about AI these days, right? But there's a bit difference between playing with a chatbot and actually using the tools to get your time back. I see so many people getting overwhelmed by the sheer number of apps that are out there or they try to once and then give up because it didn't solve older problems all at once. But here's the gist. The real magic of AI isn't in the tech itself, even though it's pretty awesome. Don't get me wrong. It really isn't about how you integrate it into your existing routines so that it works for you, especially if it can do it in the background so that you can do other high leverage and high value things. Well, it is cranking in the backdrop without you, sometimes even knowing it. So I've been diving deep into this whole AI world for the last couple of years now, and I want to share a few specific ways and tips that you can start using AI to actually move the needle on your productivity and also in your team and the organization as well. Okay. Now, the first step I want to share with you is I want you to start leveraging AI in your browser. The browser is probably the number one app that we all use. Sometimes I even forget it is actually an app that we all use whether it's Safari, Chrome or Edge. Right? The easiest way to see an immediate productivity boost is actually using the AI within your browser. So, for the longest time, we have to copy and paste back between different tabs and a chat bot. But now, especially with these extensions that we can use within the browser, you can actually have AI built in directly whether it is Chrome with Gemini or Cloud within Chrome as well and Edge. I think it's honestly the most impactful thing that we can do right now because all of us use the browser every day. But then how nice it would be if you just open up the AI chat bot next to it within your browser and it will just draft an email for you. It will review what's on your screen. It will give you some tips. It will summarize it for you. You can interact with different websites in a whole new way that is much easier. So, given an example, I have to go to a wedding very soon and there was a lot of content on the wedding website and I said, "You know what? I have a lot going on. I'm going to ask Claude to summarize it for me and make me a game plan." So, I open up Claude in the Chrome browser that I'm using with the extension that you can install for free. And I basically said, "Hey, I have to go to this wedding in a few weeks. I still have to book my flights and everything. As for me, what I need to do, what I need to buy, where I need to be, give me an eye tenoray and give me a to-do list item of things that I need to do and that you can do for me." And so, it scraped the whole website. When the page by page figured everything out and told me, "Hey, here's the list of hotels that you can book. Here's what you need to buy. Here's the wedding registry and so on." And I saved myself basically 10, 15 minutes looking at the site, going through everything, mentally calculating everything because the AI did it for me so that I could just follow the action plan. And at the end of the day, the most important thing is for me to actually be at this wedding, fully prepared and thanks to the AI, that is done a lot easier and faster. So, use it within your browser. The second thing I want to share with you is on what you determine your meetings and actionable data and insights. We've all been in those meetings. I feel like a waste of time or where you walk away and realize nobody actually wrote down what to do next. And I even had a really funny experience where I was on a call with just one other person. And we all have three different meeting bots join us, one from Lidney, one from Otter, and one from Calendly. And we have more bots than humans on the meeting. And that is kind of like the funny world we live in right now. But honestly, you just need one. You might need one for yourself. The other person might need one for the other. In an organization, you just need one, especially for a team meeting that does everything else. Lately, I've been treating hydration like part of my daily ritual. It's right up there with sleep. It's really the kind of habit that makes everything else work better. And drip drop is the reason I've actually been able to stick with it. Drip drop also just dropped, no pun intended, zero sugar plus, a breakthrough formula with an advanced blend of six key electrolyte, 15 essential vitamins and nutrients, and no sugar or artificial sweeteners. It's the complete package that truly checks all the boxes and then some. To make it easy, drip drop has flexible subscription options, so you're never stuck with a proven, fast hydration. So whether you're on the job, at the gym or on the go, you'll always have your drip on hand. That's drip drop.com promo code TPS for 20% off. Now while it looks funny at the same time, most people, when they have these like transcription bots or meeting bots, they just focus on getting the transcript, which is valuable in itself, but let's be honest, nobody ever reached the transcript. But the transcript is actually the asset that we all want. And ideally, this is just the starting point for other things. So for example, how nice would it be if you could turn that transcript into a follow-up email? How nice would it be if it would update your CRM with the latest updates that were mentioned in the call? How about a list of all the decisions that were made so you feel like you're actually informed? How about sending an internal team meeting, telling everybody what the next steps are? Would it be great if it also updated your project management platform and tool and assigned all the action items to your team members? What guess what? This is all possible today. In my business, this is how we do stuff now. I have a Lindy Notaker joining the meeting and then it's recording everything and if it's an internal meeting, it will automatically send the follow-up email to everybody. It will update Jira, which is our task management platform. It will update internal documentation or CRM as well. This is all done automatically so that we can just focus on being the best version that we can be on the meeting and have the app and work done by AI agents. This is all possible today and this sounds exciting. I want you to start looking into how you can do this. Speaking of agents, this is the third idea here. I want you to move away from just chatting with AI to start automating with AI and you can do this with agents. When I started Asian efficiency back in 2011, it was just started off as a productivity training business. For over a decade, we focused on building systems and habits. When Chatsubt launched in late 2022, I knew everything was going to change. And about, I would say, year and a half ago or so, I stopped chatting with just AI and actually you started building with it. I started diving deep into building agents and building workflows, specifically using a platform called Lindy and then lately I've been really heavily into Cloud Code, Open Claw or as agents and a bunch of other cutting edge platforms. But that's not the point. The point is, I want you to start moving away from chatting with AI to actually building workflows and agents because it starts to move from the AI telling you what to do. To now, it actually doing the task for you. And this has only been possible in the last year and a half ago and most people have no clue that this is all possible right now. So I want you to kind of be aware of this because I built these solutions every single day now. And this is how you start to win back not just five to ten hours a week where AI when you're chatting with it can do for you. When you're actually having it doing the work for you, now all of a sudden you can win back 10, 20, 30, 40, 50, 60 hours depending how many agents you want to deploy. So the simplest example I can give you is most people will summarize a meeting and then have a chat to be your claw tell you to draft to follow up email and it will tell you, hey, here's the email go copy it and then paste it right. And then maybe you find you in a little bit and then you fire it off. What's possible now is that chat to be or a clawed. can actually connect your email accounts. And then when you give it a meeting transcript, you can tell it to write a draft email for you, it will actually put the draft in your inbox, okay? So that is now possible. And I know the first thing that it's gonna come up is, hey, what about security and everything? And that is a fear of concern. When you are connecting AI to your email accounts, you kind of have to be okay with the fact that they're gonna be able to read everything, okay? That's kind of a trade-off that comes with that. But that's just one example. There's tons of other examples. And if you wanna get really nerdy, you could even run a local AI server that is not connected to the internet and do that, which is something I've been doing at home. But that's a whole different ball game. And a different topic for another time, okay? But as always, we like to end things with an action item. So I want you to pick out one task that you're constantly doing with AI right now, where you're just chatting. And I want you to ask it and say, hey, how could you do this task for me? What would have to be true in order for you to execute on my behalf? And I think if you start playing around with that and start thinking along those lines if not having the AI tell you what to do, but you telling it to do it for you and having it execute the task on your behalf, I think you're gonna start to see some really exciting opportunities there, okay? You don't have to overall your whole life. Just pick one thing and see how much it can do for you. And I think you'll be pleasantly surprised, okay? Because I promise you, once you see that magic happen for the first time where it is doing the task for you, you can't go back doing it the old way. And as we always like to say, one tweak a week is all takes to make massive productivity gains over time. So make that tweak this week, all right? Talk to you soon. Thank you for listening. And I'll see you next time.
