I am Madeline and I'm joined by my co-host Ruby. Hi Ruby. - Hi Madeline, how are you? - I'm good, how are you? - I'm good, thank you. - Now today you're taking us on an AI journey. Talk to us, what are we talking about? - Today I thought I would summarize some of the ways that my clients are using AI and things that we have implemented into their businesses to basically save time and make more money. Now I've kept these points, I wouldn't say basic, but what I wanted to do today is to bring you some ideas that you could very easily implement into your business. And if you're not doing them, you probably should be doing them. So I wanted it to be like, here's some ideas that you could literally implement this week into your business that will save you time or make you more money. - Love that, let's jump in. - Let's jump in. So the first one is something that I think we all should be doing is summarizing your coaching and sales calls plus your meetings. So you can use a system like Otter, is Otter or Otty? - Otter, I use Otter, yeah, love, Otter. - And it basically just summarizes the entire call for you. It will spit out action points, all of your call notes, you can ask it to reframe it in any sort of format. And it just makes providing clients with action points so easy. Now this could really, depending on what business you run for any coaches, this makes your notes, sorry, your coaching call summary is really easy because you literally will give them their action points. But if you worked in a different business where you perhaps had lots of meetings, it just adds a whole nother professional field just sending the client notes after the session as well. And also for your team. If you're wanting to relay that information or you need it for future reference, AI can summarize that all for you instead of you having to go back and remember everything in your session or take physical notes in the session itself. - I use Otter and it has that little AI tool as well. So for example, if you have a big meeting and you're like, I remember we spoke about this but I don't want to read the whole thing. You can say the AI like, when, you know, what did we discuss about this? And it will spit it out. And I'm like, oh, so good. - It's so great. So I think that that's a really simple one. I think it's only, oh, it would be like $25 a month or something. I can't remember that much, but it's not much. And I think you also get 30 minutes free. Like there's free versions, but definitely one that's worth investing in, especially if you are someone that does a lot of Zoom calls. - 100%. - Number two, I speak about quite a bit on the podcast, but it's using many chat or some DM automation tool to qualify leads, generate new leads, and also for customer service purposes as well. Something else we're also testing out with a few of my clients is actually using it as like an email nurture series, but in DMs. Especially if you find your clients or sorry, your target audience are perhaps a younger generation and you're one of those people that say, my target audience doesn't read emails, build out your nurture series in a many chat automation. So we're actually nurturing those leads, but inside Instagram or Facebook. So there's lots of ways that we can use it. Like I said, it's a great one to generate leads, but it's also a great way to nurture them. But if you're in the Ecom space, you could even use it for customer service as well. So we can actually set up automations that are popular concerns or popular questions that might come through your inbox. And you can build them out based on trigger words as well. So jump into many chat because they actually have really good templates as well. So if you're needing some ideas of where to start, I would just set yourself a goal of setting one up this week. And that way you can actually play around with how it works and see which ones will work for your business too. Number three is to put together detailed SOPs. So if you have any business, even if you are a solo entrepreneur, I would be building out all of your action points, all of your tasks as SOPs, because as you build, as you grow, you might find that you're at a point where you're wanting to either get a VA or hire a team member. And if you have all of your different systems already in SOPs that AI can do for you, this will be amazing. There's different ways of doing it. I know I love filming a loom and then loom can generate that as action points. You could either just pop it into chat GPT afterwards or you could upload certain documents and ask it to regenerate this as an SOP. But AI is such a fantastic tool to actually generate these systems and processes for you as well. I think that's also a tool I keep getting the ads scribe. - Which-- - Yeah, there's a couple of systems that do SOPs purely for SOPs. Is it scribe? - Yeah, I swear I'm getting their ads. - Yes, smarter documentation software. - Yeah, cool. So there are specific ones that you can use as well, especially if you're a business that perhaps has a lot to do. So yeah, even just chuck into Google or chat GPT, what are the best SOP AI tools? And for any of these points, if you're wanting to actually dive into other systems, do a bit of research, what's going to work best for your business first. - 100%. - The next one is to generate your show notes for all of your podcasts. So what we could do after this episode is literally upload the transcript and ask it to summarize as a show notes. You could do this if you run YouTube videos or any of those longer style videos. Yeah, basically it's just a great tool just to summarize it for you. If you're someone that's not great at summarizing and condensing what an episode was all about, use AI, it's amazing. You can always just change it up if it doesn't quite get your language right, but I find the more you're feeding it, the better it gets at your tone of voice anyway. - 100%. - Yeah, which leads me on to my next one because we may as well talk about content while we're here. I love using AI to repurpose content across platforms. So if I have, let's say, an Instagram post that's worked really well organically, I will chuck it in, chuck a GPT or some other AI tool and ask it to repurpose as an email and that just creates a really good value email or conversion email, but tell it what format you're putting it in and it will actually repurpose that to go out into that format. So I love it for repurposing content. You can also use it to generate content ideas. So brief it really well, literally brief it as if it is your marketing assistant and it's putting together your copy and get it to brainstorm different ideas for emails and social media and even ads. - Yeah, why not? Why not? - I've gone off my point, so I'm just gonna circle back up. Yeah, so I should have mentioned this when I was talking about summarizing coaching calls, but another thing that you can actually do is to put together meeting notes from certain calls but generate them into team tasks. So this is something that we've been doing with one of my clients that has bigger teams and after their meetings, we'll put the Zoom call into, I keep saying otter, but I think it's otty. - Is it, I think it's otter. - Is it otter? - Let me look at it. - Yeah, otter. - Otter, okay. - I don't know. - Is there an I somewhere at the end? - Dot AI, that's maybe what you're talking about. - Maybe that's what I'm getting, it's otter, okay. Pop it into otter and it can actually generate into team tasks. So based on the call. So let's say we jump on, I don't know, a team's call first thing in the morning. We have our huddle, we have our meeting where people are going through certain things. It will put them into tasks and then you can put those tasks into your project management tool. So it just saves a lot of time. It probably takes someone's job away to generate those tasks, but that way we're just making sure that everyone knows what they're doing, what their follow up items are. So kind of similar to the first point, but instead of using it for client calls, using it for those team discussions as well. - Yeah, that's actually a good point. - Yeah, Matty and I, if we were jumping on and planning our podcast episodes and 2026 planning for the Marketing and Margaritas podcast, we could jump on, have a bit of a chat and then ask our good friend, otter, to somewhere as those points and let us know what our action points are. - You can also just on otter, if you're having an in-person meeting, you can press record as well and it can record you talking. - Yeah, yeah, love that. My final point, which I think is really cool is for use in data analysis and insights. So what you can do is you can actually upload any of your spreadsheets or reports and ask AI to identify certain trends or patterns or areas for improvement in your marketing or your sales metrics. So it's very clever. So upload anything that you're, you wouldn't maybe go out to a strategist to identify these things, but if you, let's say you're tracking your social media numbers and you have these numbers in a spreadsheet, you have a VA that perhaps tracks your followers in your engagement rate or whatnot. Upload this spreadsheet into AI and it will actually identify those gaps and give you some improvements or areas for improvement. - Yeah, I love that. - It could also be off the back of like your sales calls. So if you have, if you're tracking all of this data for sales calls who actually went on to purchase a program, who didn't, where people fell off, you can even like grab your reports from your email marketing and upload those reports to, you know, identify open rates and click-through rates and what the email subject line was about. Like actually just think outside the box here and what spreadsheets, what reports do you have and how can you get AI to actually generate some information that will support you to make improvements in those different areas? - And the more you train, then say, if you are a marketer or a brand and you start creating the chat GPT or puppy AI, I've talked about that one being good, on your results, it will start learning then how to become better as well. Like if you're showing it that, oh, our open rates aren't that good, but then you're getting it to write, you know, open, oh my God, email subject lines, I couldn't think of what they're called. - Maybe you're a reject. - Open lines, open lines, you know, it can work on that. Does that make sense? Like if it has the data of where it can improve, then it will start getting better as well. - Absolutely. Well, that brings me to the end of my list of ideas that you could easily implement into your business. I know some of them are basic, but I guarantee you, you're not doing all of them. Actually, maybe you are, but if you're not, they're very easy that you can implement into your business and they're gonna make massive differences just in terms of saving time or improving your income or revenue as well. - I think, you know, I spoke about the conference last week, but the biggest takeaway was not just like creating creative visuals with AI, but just how many people use AI in their business. - And you should be. I think so many people are still scared of AI and scared of it taking jobs away or changing the human aspect of our businesses. But the reality is it's here to stay and if you're not adopting these new ways of doing things, you're actually gonna get left behind and your business isn't gonna grow like the rest of them. - And it can replace like a whole person almost, like seriously. - Which is scary, but it's also gonna save you a whole lot of money in business too. - No, I'd rather save the money.
